Onboarding

Add Employee (Admin / Super Admin) creates the person, assigns a role and reporting line, and grants login access — credentials are emailed on activation. Onboarding has a status (NOT_STARTED → IN_PROGRESS → COMPLETE) and captures structured onboarding answers, an offer-letter upload, and ID-card generation as it progresses.

Employee documents & OCR

Employees and HR upload personal documents — ID proof, address proof, education, past employment. With OPENAI_API_KEY set, the OCR extraction service reads an uploaded image or PDF (up to 3 pages) and pulls out structured fields — names, numbers, dates in several formats — so the employee confirms rather than retypes. Without a key, upload still works; extraction is skipped.

HR documents

HR-issued letters, generated and stored per employee:

Each has a status so an unsigned or unacknowledged letter is visible as outstanding. HR_DOCUMENTS_MANAGE issues them; HR_DOCUMENTS_VIEW_ALL reads across the company.

Org hierarchy

Org Hierarchy is the company's reporting tree — each node carries a name, role, designation, department, photo and the projects that person is on. HR_HIERARCHY_MANAGE edits the structure; everyone can view it. It's the reference the rest of the app uses for "who approves this" and "who is on this team".

The exit portal

An employee starts their own departure from the Exit Portal:

Stage
Employee submits	Reason and intended last day. Only one active request at a time.
Team-leader review	Approve or reject (TEAM_LEADER_REJECTED is terminal)
HR review	Approve or reject (HR_REJECTED is terminal)
Completion	COMPLETED — access is wound down, final settlement and the relieving letter follow

The employee tracks it live on Exit Status. HR sees every in-flight exit alongside the rest of the lifecycle.
