Scheduling Plugin

The scheduling plugin lets users pick a date and time for a meeting directly inside Hrida.ai Studio — no external booking tool, no separate account. It syncs natively with Hrida.ai's own built-in Calendar: every scheduled meeting is created as a CalendarEvent on the organiser's calendar, and invited participants see it through normal calendar sharing and RSVP.

When a meeting is scheduled, Hrida.ai automatically creates:

  • A CalendarEvent in the organiser's Hrida.ai calendar (and on invited participants' calendars, via attendee RSVP)
  • A MeetingSession record linked to that event
  • A join link (if the Video Conferencing plugin is enabled), attached to both records

Why No External Booking Service?​

Earlier versions of the Scheduling plugin embedded a third-party booking tool (Cal.com). That integration has been removed — scheduling now runs entirely on Hrida.ai's own Calendar feature, so there's nothing external to host, no API keys to manage, and no inbound webhooks to secure. Meetings, notes, and calendar events all live in the same database and share the same access-control model as the rest of Hrida.ai.


Step 1 — Enable the Plugins​

  1. Admin Panel → Settings → Meetings and confirm the Meeting Suite is enabled (ENABLE_MEETINGS=true).
  2. Make sure Calendar is enabled globally — see ENABLE_CALENDAR (enabled by default).
  3. The Scheduling plugin is on by default (ENABLE_MEETING_SCHEDULE=true); no per-plugin config, API key, or webhook secret is required.

Using the Schedule View​

Navigate to Meetings → Schedule (/meetings/schedule):

  1. Click New Meeting and pick a title, date/time, and optional participants.
  2. Click Create. Hrida.ai immediately:
    • Adds a CalendarEvent to your calendar (visible in Calendar → Studio sidebar)
    • Creates the linked MeetingSession
    • Generates a join link if a video provider (Jitsi or Zoom) is configured
  3. Invited participants see the event on their own calendar with a pending RSVP, and get the join link once they accept.

Because the Schedule view is just a focused entry point into the Calendar, every event it creates is also fully editable from the regular Calendar page — move it, rename it, change attendees, or delete it there.


Connecting Scheduling with Video​

If the Video Conferencing plugin (Jitsi or Zoom) is enabled, Hrida.ai automatically attaches a join link to the CalendarEvent when the meeting is created — there's no separate "conferencing integration" step to configure. The link is stored on MeetingSession.join_url and shown both on the calendar event and in the meeting dashboard.


Calendar Integration​

Every scheduled meeting is a normal event on the built-in Calendar, so it inherits everything that feature already supports:

  • Recurring meetings — use an RRULE-based recurrence (daily, weekly, monthly, custom) for standing meetings
  • Sharing — share the calendar the meeting lives on with a team or group, so everyone sees it without individual invites
  • Reminders — toast, browser notification, and (optionally) webhook alerts before the meeting starts
  • Agentic scheduling — models with native function calling enabled can create, move, or cancel scheduled meetings the same way they manage any other calendar event

Deleting or cancelling the CalendarEvent also ends the linked MeetingSession.


Agent Integration​

Grant the create_meeting built-in tool to an Agent Builder agent node or Skill to let it schedule a meeting on your behalf — it creates the CalendarEvent and MeetingSession and returns the join URL in one call. Troubleshooting​

Schedule page shows no upcoming meetings → Check that Calendar is enabled (ENABLE_CALENDAR) and that you have the Features > Calendar permission — see Calendar Access Control.

Participants don't see the meeting on their calendar → Confirm they were added as attendees when the meeting was created, and that they've accepted the invite — pending RSVPs still show the event, but attendees need to check their own Calendar view.

No join link on the calendar event → The Scheduling plugin only attaches a join link when a video provider is configured. Enable Video Conferencing (Jitsi or Zoom) in Admin Panel → Settings → Meetings.

A scheduled meeting disappeared → Deleting the CalendarEvent (from either the Schedule view or the main Calendar page) ends the linked MeetingSession. Recreate the meeting if this wasn't intentional.
